In this guide, we will demonstrate the steps to add a room list to your Outlook Calendars. This feature is beneficial as it prevents double bookings by providing visibility into room availability, ensuring that you do not book a room when it has already been reserved by someone else at the same time.


Adding a Room List to Your Outlook Calendar:


  • To access the Outlook Calendar, locate and click on the "Calendar" option on the left-hand side of the menu.

  • Navigate to the top menu in Outlook Calendar and click on “Add Calendar” → “From Room List…”.

  • Here, you will find a list of available rooms that can be added to your Outlook Calendar. This list provides you with various room options to choose from when scheduling your meetings or events.

  • To open a specific room calendar, double-click on the desired room calendar from the list. Afterward, click on the "OK" button to confirm your selection.

  • After completing the previous steps, you will notice that the selected room has been successfully added to your calendar. It will be displayed on the right-hand side of your screen, providing you with a clear view of the scheduled room and its corresponding appointments.


Removing a Room List from Your Outlook Calendar:


  • To remove the selected room from your view, navigate to the left-hand side of your screen. Locate the room name, in this case, "Training Room," and deselect it by clicking on it. This will remove the room from your calendar display, allowing you to focus on other rooms or appointments.

  • Once you have deselected the chosen calendar, it will no longer be visible in your calendars unless you select it again. This allows you to customize your calendar view by displaying only the calendars that are relevant or necessary for your current needs.
